Meliteh Recruiting is hiring an Administrative Executive for one of our clients to join their dynamic team on a full-time basis in Malta. This is an exciting opportunity for an organised and detail-oriented professional to contribute to a growing advisory firm and play a key role in supporting daily operations and client management. Role Requirements: • Previous experience in a similar administrative or executive support role • Strong knowledge of office management systems and procedures • Excellent time management skills, with the ability to multitask and prioritise effectively • Strong attention to detail and problem-solving abilities • Excellent written and verbal communication skills in English • Strong organisational and planning skills • Proficiency in Microsoft Office • Legal right to live and work in the EU Main Duties: • Schedule and coordinate meetings and appointments to support efficient time use • Take and distribute accurate meeting minutes • Maintain structured filing and archiving systems for easy document retrieval • Manage incoming and outgoing mail and ensure proper distribution • Prepare engagement letters and onboarding documents for clients • Ensure accurate document storage within client folders • Prepare and issue client invoices and monitor timely processing • Support leadership in maintaining and updating the client database • Monitor the status of Financial Statements and audit-related documents, follow up on invoice payments and CDD documentation • Organise and lead monthly team meetings to track pending tasks • Handle online and physical filings through the Malta Business Registry (MBR) and liaise with relevant regulatory bodies • Assist in the preparation of business proposals and support with identifying and monitoring potential client leads • Oversee front office duties and reception when needed • Perform additional administrative tasks as assigned by leadership Benefits Package: • Full-time contract • Competitive salary • Comprehensive health insurance • Employee Assistance Programme (EAP) • Discounts on gym memberships and other services • Monthly mentoring and regular performance appraisals • CPE training and continuous development opportunities • Beneficial loan rates through partnership with a local bank • A supportive and growth-focused work environment Application Process: • Meliteh Recruiting screening • Client screening • Face-to-face interview We welcome all applications, but please note we will only contact candidates shortlisted in the second round.
